A commercial site survey should give the estimator a clear picture of the glass and the work around it. That includes where the panes are, what the customer wants included, what the proposed film needs to address, and how the crew will reach and work on those windows.

It is easy to leave with measurements and still have unanswered questions that affect the quote. The property manager may not have confirmed installation hours. The tenant may want film on glass the building owner controls. A group of upper panes may be visible but inaccessible during the visit.

The useful result is a survey packet someone else can understand: measured scope, location references, supporting photos, working conditions, and a clear list of what still needs an answer. Confirm What You Are Going There to Evaluate

Before the visit, confirm the address, suite or building, site contact, areas to inspect, and permission to enter and photograph them. Ask whether any rooms will be locked, occupied, or unavailable during the appointment. Find out about check-in, escort, parking, and loading arrangements before arriving with equipment.

Separate the people involved. The person who requests the quote, the person who opens the building, the person who chooses the appearance, and the person who can authorize the work may be different people. Keep a customer description separate from a verified technical finding.

Record what will affect the crew's access and ability to work. In an occupied office, that may include desks against the glazing, computers, blinds, furniture, sensitive equipment, customer traffic, or rooms that must remain in use.

Ask who will move or protect items and when that will happen. “Furniture will be moved” needs an agreed responsible person and scope. Capture requests and promises as such until confirmed, especially when the person making them does not control the building or occupants.

Walk the likely route for people, tools, and film where access is authorized. Record parking, loading distance, stairs or elevators, delivery restrictions, possible staging areas, available utilities, and waste-removal arrangements relevant to the work. A convenient entrance on survey day may not be the entrance the crew is permitted to use during installation.

Where elevated access may be needed, capture the conditions for a qualified access review. Do not label the job “lift access included” just because a lift is somewhere on the property. Take Photos That Explain the Records

Build a small photo sequence that lets another person understand the property: an overview of each included area, enough detail to locate the panes, and close-ups of conditions that need review. Include relevant access and staging conditions instead of photographing only the glass.

The office manager has authorized the survey and photographs within the agreed areas. The building manager must confirm permission for the proposed exterior-glazing work and installation hours. The estimator has the contact details for both people. No film or installation date is confirmed.

The surveyor labels the west and east panes left to right when viewed from inside looking out. Entry doors and high lobby panes are identified on a location sketch. Access and Operating Notes

What the Estimator Can Do With This Packet

The unmeasured lobby option does not have to prevent a separate base quote once the base requirements are resolved and the separation is clearly agreed. It does prevent the shop from presenting an inclusive price for all twelve panes as if they had all been evaluated.
